We collect information necessary to support your dental practice’s operations, including:- Patient Health Information: Protected health information (PHI) as required to manage dental records.
Personal Identification Information: Names, contact details, and other identifiers for both patients and prospective marketing leads.
Insurance Information: Details necessary for claims processing.
Operational Data: Data used for practice management and marketing.
The data collected through The Dental App is owned by the respective dental practice and is used only for:
Operational Purposes: Managing patient records, processing insurance claims, and maintaining appointment schedules.
Sales and Marketing Activities: Assisting the practice in marketing initiatives to attract new patients.
Authorized Analytics and Integrations: Offering analytics tools and third-party integrations that practices may independently activate on their data.
The Dental App shares data only in compliance with HIPAA and when authorized by the practice, specifically:
Third-Party Service Providers: Only those providers necessary to support software functions (e.g., cloud storage, insurance claims processing) and solely as authorized by the dental practice.
Compliance and Legal Obligations: In compliance with state or federal laws or as required to fulfill contractual obligations.
We do not share any end-user information with third parties/affiliates for marketing/promotional purposes.
We implement rigorous security standards to ensure the protection of your data, including:
Data Encryption: All PHI and sensitive data are encrypted during storage and transmission to prevent unauthorized access.
Access Controls: Only authorized personnel within The Dental App and third-party service providers with HIPAA compliance certifications have access to sensitive data.
HIPAA Compliance: Our software undergoes regular audits and updates to remain compliant with HIPAA and other applicable data protection regulations.
The Dental App retains data in compliance with HIPAA standards and industry best practices. We recommend practices to retain patient health information for a minimum of 6 years from the last date of service, as mandated by HIPAA, or as long as required by applicable state laws.
In accordance with applicable state and federal laws, patients and users may:
Access and View Their Data: As required for state compliance, such as California’s privacy regulations.
Request Deletion of Data: Requests for data deletion will be processed as per HIPAA and state regulations, provided it does not hinder The Dental App’s operational capabilities.
The Dental App reserves the right to modify this Privacy Policy to reflect company updates, regulatory changes, or security enhancements. Practices will be notified of substantial changes through the app interface or by email.
